GAJR CLUB/VENDOR set up times

Postby Scott » Tue Sep 21, 2010 7:51 pm

Please forward this to the people setting up your club booths. It's also posted on the Jeep Rally forum. Thanks!

Hi all, Hope everyone is excited as we are about the Rally. It's going to be huge!
Because we have so many clubs and vendors signed up this year we need to be very clear about when those setting up booths can do so. We do NOT want anyone setting up after the gates open to the public so be sure to be on time.

Starting at 2pm SATURDAY clubs and vendors are welcome to set up.
A Saturday setup is more important for Vendors as they typically have more stuff to set up and bigger vehicles that need to be maneuvered safely into position.
We are not responsible for items left on the grounds overnight Saturday. DO NOT leave anything valuable.
Vendors wishing to set up on Sunday morning should be on the grounds NO LATER THAN 7am and ready to rock by 9am.
Clubs wishing to set up on Sunday morning should be on the grounds NO LATER THAN 8am with your ez-up and supplies. People manning your booth can show up at will.
ALL CLUB MEMBERS WITH BOOTHS ARE NOT EXEMPT FROM THE $10 DONATION TO ENTER. PLEASE PAY AS YOU ENTER AND RECEIVE YOUR GOODIE BAG.
All club Jeeps that are allowed in the main area to unload the booth supplies NEED to be moved to the Jeep parking area immediately after unloading.
Electricity is available throughout the grounds, if you requested it you will have it, pending the $20 fee paid to me when I unlock the outlet. Please come see me at the raffle area to unlock outlets.

We really need the cooperation of everyone involved to make this as smooth as possible, we want to have fun too! Wink

Thank you! We'll see you at the Rally!

A couple of us from OSJ will arrive prior to 8 am to setup our booth. Can we request electricity at the time of setup? We are thinking about a multimedia display.

There is juice on every pole in the club booth row (think 08 not last year) so yes, you can get it if needed. just bring an extension cord at least 20'

I will be doing a layout for the booths over the next several days. If we have enough room so everyone can have a jeep at their booth we will allow that. I would plan on not being able to however just to be safe.

I will talk with Scott and see if we can work out a way to get you a receipt.

We can do a paid invoice for the eletric but not the entrance donation. Tracking those would be a pain.
